Why Change Management is Vital in a Workday Post Go-Live World

Managing change during a Workday implementation is key to a successful launch. However, after you’re live, ongoing challenges can arise.

  • What happens now?
  • How is the change momentum sustained?
  • How are new training materials created or existing training materials updated?
  • What do you do when the system’s interface changes overnight after a bi-annual release?
  • What if new modules are added to Workday?
  • Are employees prepared for ongoing change or are they left unaware and frustrated?

  • Managing Workday Releases: Proactively review the documentation, videos, and webinars available on Workday’s Release Center on Workday Community to plan for upcoming bi-annual and monthly releases. Identify the changes that will impact end users in order to prepare communications or updates to existing training materials.
  • Updating/Creating Training Material: Periodically examine and update your training materials inventory to reflect evolving instructional design best practices and to ensure business processes are documented with accurate step-by-step processes for end users. Training material templates should be regularly updated to ensure accessibility and readability. New training materials may be required when new modules or new business processes are introduced to Workday.
  • Reselling Workday to End Users: “Resell” Workday to your employees to protect your investment and increase ROI. Reselling Workday requires examining why employees are not using Workday and developing strategies to drive Workday adoption and transactions.
  • Developing Regular Feedback Surveys: Develop a regular survey cadence to collect employees’ feedback on Workday and their day-to-day experience using the system to perform their job duties. Feedback can be sought on Workday business processes, training materials, what information end users need, and what would make Workday easier to use.
  • Creating Consistent Communications: Create a strategic communications plan to consistently send timely communications to employees for upcoming releases, configuration changes, dashboard highlights, and new training materials. This keeps employees informed and up to date instead of surprised when an Expense Report or user interface looks different after a Workday release.
  • Conducting Quarterly Classroom Training: Retrain end users who run critical tasks or conduct tasks infrequently in Workday to ensure knowledge is retained over time. Our Change Managers can help you develop a plan to train new hires to help them feel comfortable in Workday.
